Nexi is Italy's leading payments specialist, an international company focused on the services and infrastructure that banks, businesses, institutions, and public administrations rely on to carry out digital transactions. Working alongside approximately 250 partner banks for card issuance, the Group operates in more than 25 countries and employs 9,600 people, including 3,100 Product & Tech professionals. Thanks to Nexi's technology, around 3 million payment terminals and 140 million payment cards are currently managed across its network.

The challenge

As part of the digital transformation journey undertaken with YUBIQ more than twenty years ago, Nexi has built its strategy around two core pillars: operational efficiency and management excellence. Every initiative is designed to advance both objectives. Optimizing operational processes is essential to enable Nexi's specialists to respond more effectively to evolving market and customer needs, while also fostering agile ways of working that accelerate execution and reduce the time to market for new solutions. At the same time, every platform is designed with native integration of compliance and security requirements.

Management excellence is equally critical in supporting internal governance and back-office workflows through the coordinated involvement of multiple business functions. The goal is to enable transparent decision-making by simplifying oversight and centralizing sensitive information, ensuring greater control, consistency, and efficiency across the organization.

The Approach

These strategic priorities also underpin Nexi's new centralized document management initiative for Human Resources. As part of the program, developed once again with the support of YUBIQ, the first fully digital workflow for managing the appointment letters of System Administrators has already been implemented. The platform is designed to simplify, standardize, and ensure full traceability of the entire process, while integrating seamlessly with the company's core HR systems. This marks the first step toward the complete digitalization of HR document workflows through the introduction of a single, secure, and centralized document repository for managing, accessing, and preserving each employee's documentation.
The new system will deliver greater operational efficiency by reducing manual activities, processing times, and the risk of errors. At the same time, it will strengthen compliance and document governance through advanced capabilities for traceability, version control, and access management.

 

The Impact

The HR document management system complements the other initiatives that are transforming Nexi into a truly digital company. Among these is the initiative governance platform, which brings together Finance, control functions, and business operations within a structured workflow featuring a unified project file and full traceability of every stage and activity. Completing the ecosystem is the contract repository, a centralized, secure, and easily searchable archive that ensures comprehensive governance of the company's contractual documentation. Together, these initiatives create an integrated digital ecosystem in which employees, partners, and customers can work more efficiently, collaboratively, and at speed.
However, this is only the beginning. The increasingly digital environment in which Nexi operates today has also been designed to embrace the next wave of technological disruption. As a result, new initiatives are expected to incorporate agentic AI, and Nexi is currently identifying the areas where AI agents can provide the greatest support to employees' day-to-day activities. Two domains are currently considered strategic. The first is dispute management, where artificial intelligence will play a key role in automating the verification of disputed transactions. The second is knowledge worker support, where AI-powered information retrieval will significantly reduce the time required to access information and manage day-to-day business processes.
