FINCANTIERI, turning a challenge into a success Story: the new order signing portal

The challenge

An organization of this scale and complexity relies on an extensive and highly diversified supplier network. Approximately 13,000 companies collaborate with Fincantieri in various capacities, and the Group issues more than 300,000 procurement orders every year.
To further improve the efficiency of its purchase order approval process and enhance the user experience, Fincantieri decided to retire a supplier portal that had been in use for 15 years and replace it with a fully digital platform. This was a transformative initiative that extended well beyond the scope of a conventional IT project, requiring not only strong technical expertise but also the ability to manage a complex organizational change process.
The new solution also needed to accommodate growing transaction volumes and evolving regulatory requirements by integrating authentication, interaction management, and digital signature capabilities without compromising the platform's usability for either internal or external users.

The Approach

Fincantieri had, in fact, already attempted to address this transition with another technology partner. However, the resulting solution failed to deliver the expected outcomes. Rather than trying to salvage a project affected by over-engineering, the Procurement team chose to set it aside and start from scratch. They turned to YUBIQ with a clear mandate: to streamline and simplify the entire process. The new initiative began in the summer of 2025 with a comprehensive analysis and requirements-gathering phase that involved all key business stakeholders in defining and refining the operational requirements. Following the preparation and approval of the solution's Business Blueprint, a series of workshops and alignment sessions brought the Fincantieri and YUBIQ teams together, paving the way for user acceptance testing and final solution validation.
After the solution went live in March 2026, YUBIQ provided a dedicated hypercare period during which no service disruptions occurred. The project proved to be a genuinely collaborative effort, where technical expertise, close cooperation, and adaptability were the critical success factors that enabled the teams to meet an ambitious timeline despite the complexity of the initiative.

 

The Impact

The rollout of the platform, initially deployed for the Corporate offices, with the Military Division and the Group's Italian and international subsidiaries to follow—not only demonstrated that it is possible to turn a failed initiative into a success, but also highlighted the value of a transparent and collaborative approach to project delivery.
Thanks to YUBIQ's Approve&Seal module, managers involved in the purchase order approval process can now authorize orders remotely by simply logging into the system, entering their password, and completing authentication with a one-time password (OTP) received on their mobile phone. The user experience has also been significantly enhanced through a modern, intuitive interface that allows users to immediately identify the actions available and navigate the approval process with ease.
At the same time, the solution extends well beyond the supplier portal, integrating seamlessly with the other systems that support procurement processes, starting with the SAP ERP platform. All of this has been achieved without compromising regulatory compliance, while enabling an accessible digital transformation for an exceptionally diverse workforce, ranging from young professionals to highly experienced senior employees.
