CARGLASS, Documents and Signing Processes under control with YUBIQ

Belron® Group, the global leader in vehicle glass repair and replacement, operates in 39 countries worldwide through company-owned centers and franchises, with over 30,000 employees and millions of customers served. In Italy, the Group has been present since 1988 through Belron® Italia, which oversees the brands Carglass® and Origlass®.
Carglass® specializes in vehicle glass repair, with 280 service centers across Italy (around 220 company-owned and 60 affiliated) and 100 mobile service units. Its techniques and processes are continuously updated by the “Belron® Technical” Research and Development Center in Bilzen, Belgium, ensuring consistent global quality standards and delivering excellent service in every country.
Origlass® focuses on the wholesale distribution of automotive glass, with a 12,000-square-meter main warehouse in Origgio (VA) and seven regional hubs that ensure nationwide service. Since 2013, Belron® Italia has also managed Doctor Glass Group, a franchisor coordinating 150 specialist affiliates in the vehicle glass repair and replacement sector.

The Challenge


For a multinational company like Belron®, communication is crucial.

"As the Corporate Office, we had significant needs related to document drafting and signing," explains Simona Palazzo, Head of the Corporate Office. "We also took on the responsibility of addressing the requirements of other departments, such as the Property Office for lease agreements and the Procurement Office for supplier contracts."

The priority was to find a solution that ensured a smooth document workflow without adding complexity, while also being intuitive and guiding users through the different stages of the process.
Another key requirement was having a centralized, comprehensive repository capable of storing and tracking the entire document validation process.

The Approach


To meet all business needs, in 2023, Yubiq Approve & Seal was implemented - a solution that integrates various digital signing technologies, from qualified to advanced signatures. After an initial analysis, the project was completed within three months, defining signing types based on company roles and document categories.

To facilitate adoption, a guide was created outlining the available signing options. "Depending on the document," says Simona Palazzo, "each signatory has access to a portfolio of signatures. Thanks to internal training, employees were guided toward the most suitable option for each document type."

The document management workflow is intentionally flexible, allowing documents to be sent to external stakeholders as well. All documents are securely stored in compliance with AGID guidelines, with advanced search capabilities powered by artificial intelligence.

The Impact


The business decision, made during the analysis phase, to adopt a flexible workflow has proven to be successful, allowing for the swift overcoming of internal resistance. This approach has accelerated the signing process, making it simpler and more accessible. Thanks to Yubiq, the set objectives can be achieved in just a few steps, ensuring efficiency and usability.

The company's digitalization journey is not yet complete. Further developments are being considered, such as the implementation of advanced document editing features. Another project currently under analysis involves the integration of Yubiq DOA, a module dedicated to corporate delegation management. This tool enables the identification of authorized signatories and the delegation of specific functions while maintaining a detailed history of delegations. It also precisely defines the limits and powers of signing users.
