Leading Coffee Producer Digitalizes Procurement with YUBIQ

The Challenge


The company launched a procurement digitalization project to enhance efficiency and unlock the full potential of its suppliers by fostering collaboration and dialogue.

In recent years, digital transformation has been a crucial step toward this goal. To support the shift, the company partnered with Yubiq, "finding a technology partner with extensive experience that truly understood our needs."

A large-scale initiative was launched to design collaborative, efficient, and easy-to-use processes, marking a strategic evolution for the entire supply chain.

The Approach


In 2018, the company implemented a portal to digitalize key procurement phases, from accreditation to payment. The following year, electronic invoicing was introduced to further enhance the process. In 2021, the company adopted Yubiq Invoice Management, enabling the management of new tasks and procedures while improving visibility into goods receipt and services. The platform allows automatic verification between invoices and purchase orders using a three-way match system, giving suppliers real-time access to their invoices and payment timelines through the portal.

The biggest challenge was overcoming resistance from long-standing suppliers. To facilitate adoption, the company launched internal training programs and awareness campaigns for approximately 4,000 suppliers, highlighting the efficiency benefits.

Following its success in Italy, the project will be extended to other countries. The next step will be the introduction of Yubiq Approval & Seal to centralize approval management and digital signatures.

The Impact


The digitalization process with the Yubiq platform has brought several benefits: it has made processes easier to understand and use, enabling the management of around 44,000 invoices per year more efficiently. It has also streamlined and optimized numerous operations, boosting overall efficiency. Additionally, automating repetitive tasks has freed up resources for higher-value activities.
