EUROVITA (now CRONOS VITA ASSICURAZIONI) adopts Integrated Regulatory Drafting

Eurovita was formed through the merger of Ergo Previdenza, Eurovita Assicurazioni, and Old Mutual Wealth Italy. The company manages €16 billion in assets and serves around half a million clients. It operates through 60 distribution agreements with banking networks, 11,000 financial advisors, and approximately 100 agents and brokers. In 2023, it rebranded as Cronos Vita Assicurazioni.

The Challenge

Eurovita recognized the need to formalize its corporate regulatory framework - an essential challenge for an insurance company subject to strict regulatory supervision. Compliance was further complicated by the company’s rapid transformation, requiring a flexible and fast-to-implement solution that could ensure a structured, standardized, and governance-compliant regulatory process.

The framework needed to ensure that every regulation was easily accessible to its intended recipients, who had to be aware of and comply with it. Each stage of the regulatory issuance process had to be traceable, with a strong focus on validation and approval. A critical aspect was identifying the current versions of regulations to maintain compliance.

The regulatory process involved multiple steps, from drafting proposals to developing the text and obtaining technical validation from responsible parties. The goal was to implement a solution that could manage not only procedural regulations but the entire corporate regulatory framework, covering governance, processes, and operations. The system needed to support drafting, review, and coordination across all phases while ensuring seamless access to regulations throughout the organization.

The Approach

Eurovita evaluated various Business Process Automation tools and ultimately selected Yubiq’s Integrated Regulatory Drafting (RIN) solution.

The decision was based on ease of use, with advanced tools such as Microsoft Word allowing the insertion of tags for document classification and semantic search. Another key factor was the rapid implementation timeline, which included the drafting engine, approval workflow, and an access portal. The system also enables recipient segmentation and tracks who has read each regulation. Every step of the drafting and approval process, up to publication, is fully traceable and validated at multiple levels. The database stores all versions of the regulations along with their validity periods. Additionally, the system was integrated with Active Directory and the company’s Intranet.

The implementation took about five months, with challenges mainly related to customizing the approval workflow.

The Impact

The RIN application provides the Organization Team with a dashboard to monitor the progress of Eurovita’s regulatory processes. This team oversees the coherence of the company’s regulatory framework, ensuring alignment with organizational structures and process rules.

Integration with Active Directory simplifies profile management during organizational changes. Semantic search and tagging functions enhance accessibility and keep documentation up to date. Looking ahead, Eurovita plans to further improve the consultation portal, both in terms of design and functionality.
